Covance is currently recruiting for the Payroll Coordinator job at our site in Madison, WI!

The Payroll Coordinator will be responsible for:

- Process US payrolls based on statutory and regulatory requirements

- Process the payroll data in accordance with the prescribed timetables.

- Work with ADP (third party processing vendor) and business stakeholders to ensure compliance with local practices and timely submission of all payroll/employment taxes, government and local filings.

- Perform payroll preparation activities, such as entry of employee change information, new hire set up information, calculation and entry of pay rate changes, calculation and entry of terminated employee pay information, new or changed deduction information, set up or change information for direct deposits and entry of tax change information.

- Perform post payroll processing activities, such as review of accuracy of payments, pay check/statement distribution, aid employees with paperless payroll solution, produce internal reports, assist with general ledger/reconciliations and any required post payroll audits.

- Perform simple and complex data retrieval, research, analysis, and reporting from payroll records as requested. Prepare and distribute management reports as assigned.

- Respond in a timely manner to inquiries. Educate employees to utilize self-service solutions.

- Maintain confidential payroll related files, filing of pay and status change forms, benefit forms, W-4 forms, direct deposit forms, tax and unemployment records, employee disability records, etc.

- Perform routine office functions such as filing, and other duties as assigned.

- Assist with administration and maintenance of the PTO program.

Education & Qualifications:

Associate Degree in Accounting or Business field with five to seven years payroll experience , including two years payroll experience on an automated system, or any combination of education and experience that provides equivalent knowledge, skills and abilities.

Experience with ADP products (PayForce, iReports, ADP Reporting, Connection preferred)

Strong verbal and written communication skills

Ability to work in a team and independently

Proficient in MS Products specifically Excel and Word

Detail oriented

Preferred Qualifications:

Peoplesoft Time and Labor

HRIS Experience

Understanding interfaces between PS and (ADP) payroll provider

Multi-State payroll experience

PeopleSoft Human Resources

FPC or CPP certification

Overture is looking for a detail-minded, fast and accurate accounting professional with experience in payroll processing. If you happen to have a love for the arts, so much the better.

Summary

The Senior Accountant is responsible for the preparation and processing of various payroll, accounting, and financial records. Work involves close attention to detail in the verification, entry, and processing of data in conformance within established rules, regulations, and standards. This position performs work that is non-routine and requires some independent judgment.

Duties and Responsibilities

Prepare biweekly payroll for submission to payroll processor, ensuring proper withholding of all benefit, taxes, 401k contributions, garnishments, etc.

Coordinate payroll, human resources, and other departments to ensure proper maintenance of employee data.

Manage vendor relationship with outside payroll processor.

Stay abreast of payroll practices, trends, regulations, and required filings.

Assist with general ledger maintenance and preparation of financial statements.

Assist with monthly close process and annual audit by preparing journal entries, reconciling accounts, and preparing supporting schedules and work papers.

Receive and enter daily deposits and receipts from tickets sales, rent deposits and receivables, donations, and grants.

Assist with preparation of the annual budget.

Respond to diverse accounting and payroll inquiries from Overture staff and outside vendors.

Assist with other reporting and financial analysis needs as assigned.

Qualifications

Associate’s degree or equivalent in combined education and related experience (minimum of 3 years), including work with outside payroll vendors.

Strong working knowledge of general ledger accounting and account reconciliation procedures using current accounting software products and MS Office, with advanced knowledge of Excel. Strong working knowledge of current payroll practices and regulations. Ability to maintain accurate financial records and prepare clear and accurate reports. Ability to work independently, organize and set work priorities, and meet critical deadlines. Ability to communicate effectively to develop and maintain effective working and public relationships with internal and external customers.
